The Kiln Ministries, a nonprofit organization registered in Tennessee, operates the Great Physician app (the "App"). This Privacy Policy describes how we collect, use, and protect information when you use the App. By using the App, you agree to the practices described in this policy.
The Great Physician app provides Scripture-based biblical counseling through an AI companion. We take the privacy and sensitivity of your personal and spiritual information seriously.
By default, your conversations are private and are not stored. Each chat displays a green shield: while it is on (the default when you are not signed in), your messages are processed in real time to generate a response and are never written to our database. When you close the conversation, it is gone, and no one at The Kiln Ministries can read it.
Conversations are stored in our secure database only when you allow it — by turning the shield off, or by signing in (signing in lets you save conversations and return to them, and starts with storage on; the shield still turns storage off for any conversation). Stored conversations that you have not saved to your private library are automatically deleted after 7 days; conversations you save are retained until you delete them. Stored conversation data is used only to provide continuity and to improve the quality of the App's responses.
The App assigns an anonymous session ID to each counseling session. We do not currently require you to create an account or provide your name or email address to use the App.
We may collect standard technical data such as device type, operating system version, and app usage patterns. This data is used solely for maintaining and improving the App and is not linked to your conversation content.

Authorized staff and volunteers of The Kiln Ministries may review stored conversation sessions for the purpose of pastoral care, quality assurance, and counselor training. This access is limited to ministry personnel who are bound by confidentiality expectations consistent with biblical counseling ethics. Conversations in private mode are never stored and therefore cannot be reviewed by anyone.
Please be aware that this App does not provide the legal protections of licensed professional counseling (such as therapist-client privilege). If you require legally protected counseling, please seek a licensed professional counselor or pastor.
If our system detects language suggesting that you may be in crisis or in danger of harming yourself or others, the App will direct you to emergency resources. In such cases, session data may be reviewed by ministry staff to ensure your safety.

Each of these services has its own privacy policy. We have selected these services based on their security standards and do not authorize them to use your data for their own purposes beyond what is necessary to operate the App.
Conversations in private mode (green shield on) are never stored, so there is nothing to retain or delete. When you allow storage, unsaved conversations are automatically deleted after 7 days, and conversations saved to your library are retained until you delete them. You may request deletion of any stored data by contacting us at the address below. We will honor deletion requests within 30 days.
The Great Physician app is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
We take reasonable technical and organizational measures to protect your data, including encrypted database storage and restricted access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
We may update this Privacy Policy from time to time. We will notify users of significant changes by updating the effective date at the top of this policy. Continued use of the App after changes constitutes acceptance of the updated policy.

Counselors who subscribe to Great Physician Pro create an account using an email address, which we store to provide and secure the service. Payments are processed by our authorized reseller and merchant of record; we do not store your full payment-card details. We receive limited billing information — such as your subscription status and the email used at checkout — in order to activate and manage your subscription.
